Privacy, use, and retention

Wine Country Marines collects limited participant information solely to coordinate the planned SAL youth Coast Guard career-exploration visit, communicate with participants, evaluate attendance for the current working date, and prepare visitor information specifically requested by the Coast Guard.

Information collected

We collect the attendee’s first and last name, phone, email, full date of birth, a minimal citizenship-status declaration, organization affiliation, up to two titles and their organizations, attendance for the working or confirmed visit date, submitter relationship, consent version, and submission time.

Do not provide a Social Security number, passport number, driver’s-license number, USCIS or immigration-document number, identification image, medical information, or home address.

How information is used

Authorized Wine Country Marines organizers use the information for attendance planning, participant communication, age-aware supervision planning, and preparation of information expressly requested for visitor access or event coordination. When necessary, a limited manifest may be provided to authorized Coast Guard personnel through an approved secure channel.

Protection and access

Personal fields are encrypted at rest. Registration administration requires an approved Windows account. Contact and sensitive fields are masked by default; opening a complete record and generating an export are audited. The public site does not expose a participant list. The system does not use advertising, analytics, third-party form processors, social trackers, or persistent IP-address logging.

Minors

A parent, legal guardian, or authorized organizational representative must complete the form for an attendee under 13. For minors, this form is only an attendance-planning consent; it is not a flight waiver or substitute for any separate parent/guardian authorization or Coast Guard documentation.

Retention

• Withdrawn or declined registrations are scheduled for deletion within 30 days.
• If no date is confirmed, registrations are scheduled for deletion 180 days after submission.
• After a completed visit, personal information is scheduled for deletion within 90 days.
• If the visit is cancelled, personal information is scheduled for deletion within 30 days.
• Generated exports are streamed to the authorized organizer and are not retained by the website.
• Backups may retain encrypted data until the normal protected backup rotation expires.

No guarantee of participation

Submitting information records interest and availability for the current working date. It does not guarantee attendance, installation access, aircraft access, or a flight. The displayed working date remains provisional until final Coast Guard confirmation. Coast Guard operations, weather, safety, capacity, manifest approval, and aircrew authority control the final program.

This website is administered by Wine Country Marines. It is not an official U.S. Coast Guard or Department of Homeland Security website, and factual references or imagery do not imply federal endorsement.
